Admin Work Queue

AgileEMR – Admin Work Queue Overview

  • Admin users can view the work queues for all other user types by clicking the options at the top of the queue window.
  • The Admin Work Queue is divided into General Tasks and Fax related tasks.

General Work Queue

The General Work Queue will allow users to view tasks which are not fax related. It will notify the user of the following tasks:

  • Review and submit charges - If reviewing charges and you notice a mistake, or have a question on a charge for a daily note, or other document, you have an option to send the document back to the clinician to verify. 
    • Click on the icon next to the Appt Clinician and this task will be sent over to the therapist work queue. 
    • Click the Review Document task. The charge section of the Daily Note will open. Review and edit as necessary:
      • Add required modifiers to treatments.
      • When applicable, add/remove a treatment, or modify minutes. (These changes will require the therapist to review and re-sign the note.)
      • Enter any supplies or self-paid treatments.
      • When the review is complete, click the Submit to Billing button.
      • If changes were made that require the therapist to re-sign the note, there will be a Send for Review button at the bottom of the screen instead of Submit. This will send the note back to the Therapist Queue for re-signature.
  • Medical Review due - the status of a case which has a limited number of days/visits/units allowed before action needs to be taken
  • View an authorization which is required and/or expiring soon 
  • Contact an active patient who has not been seen for a certain amount of days, and does not have any more scheduled appointments (Case Inactivity Alert)
    • If you just click on the action in the work queue, but do not actually complete the task, this task will continue to appear in the work queue until the action has been completed. NOTE: The number of days for Case Inactivity Alerts may vary by location (based on Company settings)
  • Admin Users can unlock documents if a therapist left a document open.
    • Click the locked document icon
    • Click Unlock in the confirmation window
  • When necessary, an Admin User has the ability to assign "unassigned" tasks to a clinician.
    • In the Queue menu bar, click to view Therapist, Assistant or Student queue.
    • Click the Assigned to field for the task and select the clinician.

Fax Related Work Queue

The Fax Related Tasks will appear below the General Work Queue.

  • After a clinician has signed certain documents, tasks related to faxing are added to the Admin Work Queue. These tasks can be temporarily hidden by clicking the Hide Fax checkbox at the top of the screen.
  • If a fax task was mistakenly marked as completed, click the Archive button on the menu bar. Find and click the archived task. The task will be moved back to the active task list.

The Fax Related Tasks will prompt the user to do the following tasks:

  • Send faxes from the clinician to the patient’s physician.
    • Click the Download PDF icon to the right of the Task name.
    • Print the PDF document that opens and fax it to the physician.
    • After faxing, click the FAX Sent button. The button will now change to read Fax Received When the physician returns the signed document, click Fax Received. The task will now move to the Archived list.
  • Show which documents are still expecting to be received. 
  • The Fax Related Actions will tell you the status of a particular faxed document. If the fax fails for whatever reason, you should be able to see the status reflected as "Fax Failed" in the Fax Related Tasks. 
  • If there are a lot of tasks in the work queue, and you only need to focus on a particular case, there is an option to search by Case Number, Service Date, Task Type and Appointment Clinician.
