AgileEMR: Auto Fax
Users will be able to perform the following tasks:
- Send/Resend Fax Documents
- Edit Cover Pages and Fax Numbers
- Receive Inbound Faxes and File to Patient Cases
- Fax Multiple Documents via Patient Case Files
- View and Download Fax History via Patient Case Files
Faxing from the Admin Work Queue: Users can edit, send and re-send faxes to the Physician that is on file for the patient’s case listed in the work queue.
Fax Related Tasks are displayed in a separate panel located at the bottom of the Admin Work Queue. Users can delete Fax Related tasks by clicking on the trash can icon located to the right of the task.
- To Edit and Send a Fax, click on the edit tool
- Enter the Fax Cover Page Message if applicable
- Users can edit the Physician Fax Number if needed
- Press Save once the data has been entered
- Once a user has completed editing the Fax Cover Sheet and/or Fax Number, press Send Fax
- The Action will display as Sending as the fax is going through
- Once a Fax has successfully reached its destination, the Action will change to Fax Received
Fax Failed -
- If a Fax fails, the Action item will display as Fax Failed
- To view the reason for the Fax Failed message, click the pencil and paper icon
- To Re-Send the Fax, click on the Fax Failed, this will change to the Action item Re-Send Fax
Re-Sending Faxes from the Admin Work Queue–
- To Re-Send a Fax, click on the Fax Icon under the Fax Info Column
- The Edit & Resend Fax panel will populate for the user to edit and resend the fax
Inbound Fax Received –
Inbound faxes are placed into the Admin Work Queue as Inbound Fax Received. Users will need to file the document by assigning a case and selecting the Document Type.
If the document is a signed note (e.g., Progress Note – Signed by Referrer – 7/11/2017) and is filed away for that specific document, the Fax Received task will be removed upon filing the document.
- To file an Inbound Fax document, view the document by clicking on the PDF. The user can then determine where the document needs to go and to which Patient Case.
- Type in the Case ID or Patient Name in the Case Not Assigned field
- Select the Document Type
- Users may choose More Options to file Administrative or Medical Documents
- Once the Case ID and Document Type has been selected the user can select File Document
Faxing from the Patient Case Documentation Page –
- Users may send/edit faxes and mark faxes as Received in the Administrative Tasks section of the Documentation Page
Patient Case Files –
In Case Files, users can fax single or Multiple Documents, view the Fax History, Edit and Resend faxes.
- To fax a single document, click on the Fax Icon located to the right of the document.
- Enter any necessary information in the Fax Cover Page and/or edit the fax number.
- Fax From: Your Name or Your Company Name (whomever should be listed)
- Fax Back Number: Your Fax Number to have a document faxed back to you
- Fax Cover Page Message: This is your Fax Cover Page, enter any necessary messages here
- Fax To: Person/company you are faxing to
- ATTN (Optional): Who the fax is addressed to
- Enter Fax To Number: Fax number to which the fax will be sent
- Press Send Fax
- To fax Multiple Documents, select the documents you wish to fax (may Select All)and press Fax Multiple Documents
- Enter the pertinent information in the required fields and press Send Fax
- Once the user presses Send Fax, the system will direct the user to the Fax History page
Fax History –
- To view the Fax History of a patient’s case, go to the Patient’s Case Files Page and select the View Fax History button
- Users can print/view the PDF of the Fax History by clicking on Download Fax History
Tips: Remember there is an Archive feature located at the top of the work queue next to Active. Users can press Undo Fax Received if this was pressed by accident or if a file was sent to the incorrect case.
